1. Overview
This Privacy Policy describes how PixelCore ("PixelCore," "we," "us"), the provider of the Warehouse Manager application and website at managerwarehouse.cc (collectively, the "Service"), collects, uses, discloses, and protects information. It applies to the account holders and team members who use the Service ("you"). By accessing or using the Service, you acknowledge that you have read and understood this Policy. If you do not agree with it, do not use the Service.
Warehouse Manager is a business-to-business tool. The company or organization that holds an account (the "Organization") decides what information to enter into the Service and is responsible for that information. In privacy terms, the Organization generally acts as the party that controls the data, and PixelCore acts as the provider that stores and processes it on the Organization's behalf.
2. Information We Collect
Account information: your name, email address, password (stored only in encrypted/hashed form), profile picture, role (owner, manager, or worker), and, if you choose it, a sign-in through Google.
Organization information: company name, the list of team members and their roles, and settings you configure.
Operational content:the data your team enters to run its warehouse — inventory records, warehouse and storage-unit layouts, work orders and tasks, snapshots, and the names and job details of your Organization's own clients.
Photos: images your team uploads or captures (for example, photographs of stored items and their labels), together with any text visible in those images.
Billing information: if your Organization subscribes, we store an identifier for your customer and subscription records held by Stripe, the plan you are on, the state of that subscription, and any date on which access is scheduled to pause. We never receive or store card numbers.Card details are entered directly on Stripe's systems; billing addresses and invoices are held by Stripe and are available to you in the billing portal.
Technical data: session cookies used to keep you signed in and to enforce access controls; device and push-notification identifiers if you enable notifications; and basic usage and diagnostic logs (timestamps, error reports, and similar information) used to operate the Service securely and reliably.
3. How We Use Information
We use the information above only to provide and improve the Service: to authenticate you, to display your Organization's data back to your team, to power features you use (including search and the AI features described in Section 4), to send operational notifications you or your Organization request (such as task assignments, status updates, and snapshot reports), to secure the Service and prevent abuse, and to diagnose technical problems. We do not use your data for advertising, and we do not sell your personal information and do not share it for cross-context behavioral advertising.
4. Artificial Intelligence Features
The Service includes optional AI-assisted features — for example, reading the text on box labels from photos, answering questions about your inventory, and generating summaries and reports. To provide these features, the relevant content (such as inventory text, your questions, and, when you use a photo-reading feature, the specific photos involved) is sent to our AI provider, Anthropic, PBC, which processes it and returns a result.
This processing happens through Anthropic's commercial API. Under Anthropic's commercial terms, your content is not used to train Anthropic's AI models. Content is transmitted securely and used only to generate the response you requested.
AI outputs may be inaccurate. AI features are assistive only. They can misread a label, miss an item, or produce an incorrect or incomplete answer. They do not constitute professional, legal, financial, or safety advice. You are responsible for verifying anything important before relying on it, and PixelCore is not responsible for decisions made based on AI outputs.
5. Service Providers (Sub-Processors)
We rely on a small set of trusted providers to operate the Service. Each processes data only as needed to perform its function and under its own terms and security obligations:
- Anthropic, PBC — AI processing for the features in Section 4.
- Cloudflare, Inc. — secure storage of uploaded photos and content delivery/security for the website.
- Railway — hosting of the application and database.
- Google LLC — optional "Sign in with Google" authentication, and push-notification delivery (Firebase Cloud Messaging) if you enable notifications.
- Brevo and related email providers — delivery of transactional and notification emails (such as verification, password reset, and snapshot reports).
- Stripe, Inc. — subscription payments, card processing, and invoicing. Stripe acts as an independent controller of the payment data it collects and handles it under its own privacy policy.
We may update this list as the Service evolves and will reflect material changes in this Policy.
6. How Information Is Shared
Operational content (inventory, photos, tasks, and client details) is visible only to members of your own Organization. It is isolated from other organizations and is not shared across accounts. We disclose information outside your Organization only: (a) to the service providers listed above; (b) if required by law, subpoena, or valid legal process, or to protect the rights, safety, or property of PixelCore, our users, or the public; or (c) in connection with a merger, acquisition, or sale of assets, in which case we will require the recipient to honor this Policy.
7. Your Organization's Responsibility
Warehouse Manager stores whatever your Organization chooses to enter, including photos and the names and details of your Organization's own clients and employees. Your Organization is responsible for having the legal right and any necessary consent to collect, upload, and store that information before entering it into the Service, and for responding to privacy requests from its own clients. We act only as the platform that stores and processes this content on your Organization's behalf.
8. Data Retention & Deletion
Deleted inventory items are first moved to a recoverable "Deleted" area so accidental deletions can be undone by an account owner or manager, then permanently removed. When an Organization closes a job, the associated records and photos are exported for the Organization and then deleted from our systems. You may request permanent deletion of your account and its associated data at any time from your Profile page or by contacting us. We retain information only for as long as reasonably necessary to provide the Service, resolve disputes, and comply with our legal obligations.
If a subscription lapses: access to the Service is paused, but pausing is not deletion. Your warehouses, the inventory inside them and their photos are retained so they are there in full if you resubscribe. We do not guarantee retention of incidental data during a paused period. If you do not intend to return, download the backup of each client from the Clients page, or contact us for an export, and then request deletion. Records of payments and invoices are kept by Stripe for the period its own policies and applicable tax law require, independently of any deletion request made to us.
9. Security
We apply reasonable technical and organizational measures to protect information, including encryption in transit, hashed passwords, per-organization access controls, session expiry, rate limiting on sensitive actions, and regular backups. No method of electronic storage or transmission is completely secure, however, and we cannot guarantee absolute security. You are responsible for keeping your login credentials confidential and for enabling available protections (such as a strong password and any biometric or two-step options).
10. Your Privacy Rights (Including California)
Depending on where you live, you may have the right to request access to the personal information we hold about you, to request its correction or deletion, and to receive a copy of it. Residents of California have specific rights under the California Consumer Privacy Act (CCPA/CPRA), including the right to know what personal information is collected and how it is used, the right to request deletion, the right to correct inaccurate information, and the right to opt out of the "sale" or "sharing" of personal information. As stated above, we do not sell or share personal information for advertising. You will not be discriminated against for exercising any of these rights.
You can exercise most of these rights directly from the Settings page in the app (access, correction, export, and account deletion), or by contacting us using the details in Section 14. How to delete your account, and what is kept afterwards, is explained step by step at managerwarehouse.cc/delete-account. We will verify your request against your account before acting on it.
11. Cookies
We use only the cookies necessary to operate the Service — principally to keep you signed in, to manage session timeouts, and to protect administrative areas. We do not use advertising or third-party tracking cookies. Because these cookies are strictly necessary for the Service to function, disabling them may prevent you from signing in or using the Service.
12. Children's Privacy
The Service is intended for business use by adults and is not directed to children. We do not knowingly collect personal information from anyone under the age of 16. If you believe a child has provided us information, contact us and we will delete it.
13. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in the Service, our providers, or applicable law. We will revise the "Last updated" date above and, for material changes, provide a more prominent notice. Your continued use of the Service after a change takes effect constitutes acceptance of the revised Policy.
